Cash desk, folios and invoices for hotels

Every stay opens a folio and everything lands there: room, POS charges, services and extras, with a live balance and a close at check-out. The deposit is a percentage configurable per hotel and it does one thing, but it does it properly: recording it confirms the booking and deducts inventory inside the same transaction. Either both happen or neither does. At close, the cash audit and the fiscal report come out of recorded movements, not a spreadsheet someone has to balance by hand.

On invoicing it pays to be exact, because that's where this industry exaggerates most. From a closed folio you issue an invoice with atomic fiscal numbering per hotel, point of sale and type — sequential, idempotent, with folio charges already posted and its PDF. What we do NOT do yet is electronic invoicing: the CAE is simulated, there is no connection to ARCA/AFIP, and Paraguay, Peru and Uruguay are not implemented. What does solve the day-to-day meanwhile is manual entry: you record the invoice you issued elsewhere, tied to the reservation, with its external number and the PDF attached, and it lands inside the period's fiscal report.

Frequently asked questions

Does it issue electronic invoices to ARCA/AFIP?

No, not yet. The invoice comes out with atomic fiscal numbering, folio charges posted and its PDF, but the CAE is simulated: there is no connection to the tax authority. Paraguay, Peru and Uruguay are not implemented either. If your hotel needs to issue fiscally from the PMS, we are not your system for that today and we'd rather say so before the proposal.

So how do I record the invoices I do issue?

With manual entry: you record the invoice you issued elsewhere, tied to the reservation, with its external number, amount and date, and you attach the PDF. It's listed alongside the rest and enters the period's fiscal report. The system tells manually entered invoices apart from the ones it issued.

Do the cash desk and the folio reconcile themselves?

The folio accumulates room, POS and service charges, and the payments you record are posted against it. Cash audit and fiscal report are computed over those movements, so the close doesn't depend on a parallel spreadsheet. The payment itself is processed outside: the PMS records it, it doesn't process it.
